This guide aims to help you get started with using the Training Plans module and ensure that the planning and follow-up of your training sessions are conducted smoothly and efficiently.

Training Plans exist to plan, document, and track the training required to meet the demands of relevant ISO standards. The function serves as both a reporting tool and a traceability tool, containing the data fields required by ISO standards.

Having a well-structured training plan makes it easier to ensure that the right resources are available, deadlines are met, and everyone who needs training receives it on time. It's also an excellent tool to demonstrate how you work with competence development within the organization and to show compliance with various requirements and regulations.

It's about ensuring that competency needs are identified and that necessary training is planned, conducted, and evaluated continuously. The purpose is to ensure quality work and to make sure the organization meets the demands set by various standards, such as ISO 9001, ISO 14001, or ISO 27001.

How Should It Be Done?

A significant portion of the work is already completed, thanks to the Training Plans tool in AmpliFlow. What you need to do now is:

  1. Assign permissions to those who will work with training planning and follow-up.
  2. Review the lists and documents that already exist in your organization to see which training sessions you have and how they fit into your requirement levels.
  3. Add new training sessions or resources that you are missing and remove anything that is no longer relevant.
  4. Update the information page in AmpliFlow where you describe how you work with Training Plans and who is responsible and involved.
  5. Go through and check off the control points (the final step) in the checklist in AmpliFlow.
  6. If you are working with a consultant from [company name], notify them that the work is ready for review.

Tips for Successful Implementation

  • Ensure that everyone working with Training Plans understands the purpose: to ensure the right competencies and meet relevant requirements.
  • Plan well in advance. Training can take a long time to organize, especially if external resources are required.
  • Clearly delegate responsibilities if the work is divided among several people.
  • Set a clear timeline and schedule any review meetings now.
  • Communicate the results and status of the training sessions to internal stakeholders so that everyone involved has the same understanding.

Explanation of Each Column

Below is an explanation of the columns available in AmpliFlow for creating and managing your training plans.

  • Training: Specify which training or course will be conducted, for example, "ISO 9001 Basic Course" or "Introduction to Environmental Work."
  • Responsible Manager (Select): The position responsible for planning, approving, and following up on the training.
  • People to be Trained (Select): Here, you select the employees or staff members who will participate in the training.
  • Resources: Note what resources are required to conduct the training, such as venue, equipment, course literature, or external consultants.
  • Deadline: Specify the date by which the training must be completed. This helps keep the schedule.
  • Status (Choose from "Not Planned, Completed, Scheduled"): Mark the current status for each row: whether the training is planned and booked, already completed, or not yet planned.
  • Completion Log: This field is used to document when the training was actually completed and any comments regarding this.
  • Evaluation: Describe how you assess the training results, for example, through surveys or test results.
  • Evaluation Date: Specify the date when you collected and analyzed the evaluation results.
  • Comments: Free text field to note additional information that may be important for understanding the execution or results of the training.
  • Evaluation Result (Choose between Not Approved, Approved, Well Approved, Not Conducted): Evaluate and mark the final result of the training based on the criteria you set for passing or approved performances.
