How should it be done?
Already, much of the work is already completed, the big job was to building records of competences and positions in AmpliFlow.
Below are the steps you need to go through to start working with the competency matrix in your business:
- Assign permissions to the users who will work with the competency matrix. In particular, keep in mind that competency matrices can be authority-controlled in more ways than other registers. For example, you can set users to see only their own rows and the rows for which they are the boss (and down the hierarchy).
- Review existing lists of competencies and ensure that they are consistent with your business. Remove duplicates or obsolete competencies.
- Add rows for users to the competency matrix and indicate for each of them the level of competence (1—5) they have in their respective competencies.
- Update the information page in AmpliFlow to describe how you work with the competency matrix, as well as indicate who is responsible and involved.
- Go through and check off the checkpoints (the last step) in the checklist to make sure everything is filled in correctly and up to date.
- If you are working with a consultant from [company name], notify them that the work is ready for review when you are done.
Tips for successful implementation
- Make sure that everyone working with the competency matrix understands why it is important and how it connects to your quality or management system.
- Keep in mind that you can filter the competency matrix based on user, team, or position. When you filter by position, only the competencies associated with that position are displayed.
- Be clear about the division of responsibilities and make sure that the people who will complete or update the matrix know which parts they are responsible for.
- Set a clear schedule and schedule any reconciliation meetings to keep track of progress.
- Feel free to communicate the results to internal stakeholders, so that everyone is informed about how competencies are developing in the organization.
Explanation of the respective column
AmpliFlow contains the following columns for the competency matrix. These help you structure and monitor each employee's level of competence:
- Who: Who (user) to whom the line refers. This is the name of the person whose competencies are assessed.
- Competencies (1-5): A field for all the competencies present in your Ampliflow environment. For each user, you specify a level from 1—5 for each skill, where 1 often means basic level and 5 is complete expertise.
- Planned courses: Displays planned trainings associated with the selected user that have not yet been completed. It helps you to see what developments are planned.
- Completed Courses: List of completed trainings according to training plans. This makes it easy to follow up on previous efforts and results.
- Commentary: A free text field where you can write optional notes, such as additional information about the user's skill level or need for further training.
