5 mistakes to avoid when mapping processes — and how to fix them!

Process mapping is a great tool to get a visual picture of your company's operations and show how you go from need all the way to a satisfied customer.

But, as with anything else, there are pitfalls you need to avoid to make sure your process mapping really adds value.

Let's dive into five common mistakes we see often — and how you can correct them!

1. Too many details — less is more

We know, you want to capture every little detail of your process.

But the trick is not to get overwhelmed by the details. Instead, focus on the most critical processes that have the greatest impact and differentiate between processes and routines.

Remember, your process map should be simple to understand and follow.

2. Don't forget employee insights

Your employees are the ones who work on the processes on a daily basis. They have invaluable knowledge and insight into how things work -- and where there might be problems.

So, involve them in the process mapping.

Their perspective can give you a more authentic picture of how the processes actually work and are a great source for improvement.

3. Neglecting to update the map

Processes change -- it's part of business life.

New technologies, changing market conditions, new business goals — all of these factors can affect your processes. If you do not keep your process map up to date, it quickly loses its relevance and effectiveness.

Establish a routine to regularly review and update your process maps.

4th. Ignoring clear goals

Any process should have a clear and defined goal.

If you don't know what you're trying to achieve with your process, how are you going to evaluate if it's successful?

Ensure that each process has defined objectives and that the effectiveness of the processes is regularly monitored.

5. Using the wrong tools

There are a variety of tools available for process mapping, from simple diagramming programs to advanced specialty software.

However, it is important to find the tool that suits your business needs and does not complicate the process more than necessary.
